Privacy policy
How we handle your personal information, in plain English. Last updated: [FILL IN: date].
Who we are
This website and our window cleaning service are run by [FILL IN: legal identity] ("we", "us"). We are the controller of your personal information, which means we decide how it's used and we're responsible for protecting it under the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018.
Contact us about anything in this policy by email at [FILL IN: email], by phone on [FILL IN: phone], or by post to [FILL IN: postal address].
What we collect
When you ask for an estimate
Your type of home, any extras, how often you'd like a clean and the estimated price, plus your name, email address, phone number if you give one, the postcode of the property, any notes you add, and your confirmation that you're 18 or over. We ask for the postcode rather than your full address because that's enough to give a price.
Using the calculator without sending the form doesn't send us anything. Your choices stay in your browser.
When you become a customer
The full address of the property, any access notes you choose to give us (for example which side gate to use), the dates of our visits, the prices agreed and records of what you've paid.
When you call, text or email us
Your phone number or email address and what you tell us.
When you visit the website
We don't use analytics, advertising or tracking tools. Our hosting provider, Cloudflare, processes technical information such as your IP address so it can deliver the website and protect it from attacks. We don't store your IP address with your quote request.
Please don't send us health details or other sensitive information. We don't need it.
Why we use it
The law requires us to have a lawful basis for each use of your information. Ours are:
| What we do | Lawful basis |
|---|---|
| Check your estimate and send you a confirmed price | Taking steps you've asked for before a contract |
| Carry out cleans, arrange visits and take payment | Performing our contract with you |
| Keep financial records for tax | Legal obligation |
| Deal with complaints, disputes and legal claims | Our legitimate interest in resolving problems |
| Keep the website secure | Our legitimate interest in running a safe website |
We don't make decisions about you by automated means. The calculator only produces an estimate: a person always checks it before we confirm your price.
How long we keep it
| Information | How long |
|---|---|
| Quote requests that don't lead to work | 12 months, then deleted |
| Customer records, invoices and payments | 6 years after the end of the tax year of our last job for you, because tax law and the time limit for legal claims can require it |
| Access notes, such as gate instructions | Deleted when you stop being a customer |
| Requests to use your data rights, and our replies | 2 years |
Your rights
You can ask us to:
- give you a copy of the information we hold about you
- correct information that's wrong or incomplete
- delete your information, unless the law requires us to keep it, such as tax records
- restrict how we use it, or stop using it where we rely on legitimate interests
- give you the information you provided in a format you can take elsewhere
To make a request, email [FILL IN: email] or use the phone number or address above. It's free. We reply within one month, or tell you within that month if a complex request needs up to two more. To protect your information, we may ask you to confirm who you are first, usually by replying from the email address or phone number we already have for you.
Marketing, children and changes
Marketing
We don't send marketing emails or newsletters. Messages about your quote, visits and payments are service messages, not marketing. If we ever start marketing, we'll only contact people who have opted in, and every email will have a one-step unsubscribe link.
Children
Our services are for adults. You must be 18 or over to ask for a quote or book a clean. We don't knowingly collect information about children. If you think a child has sent us their details, tell us and we'll delete them.
Changes to this policy
If we change this policy, we'll update the date at the top. If a change affects information we already hold about you, we'll tell you before it takes effect.
Complaints
If you're unhappy with how we've handled your information, please tell us first so we can put it right. You also have the right to complain to the Information Commissioner's Office (ICO), the UK's data protection regulator, at ico.org.uk/make-a-complaint or on 0303 123 1113.
